Add your Scenario into the main Budget

Merge Scenario

You can make a Scenario a permanent part of a Budget by merging the scenario into the budget.

WARNING ⚠️If you have included your Scenario on Reports within a Bundle, you will need to remove that option once the Scenario has been merged with the Budget to prevent the figures DUPLICATING

Navigate to Budgets & Cashflow > Budget Tools > Scenario Manager

  • Locate the Scenario to be merged

  • Click the overflow menu on the right

  • Select Merge Scenario

NOTE 💬

  • Calxa will create a Snapshot of your Budget prior to the merge.

    • Snapshot Name = [Budget Name] before merge with [Scenario ]

  • The Scenario will remain in your list of scenarios, as inactive (grey toggle)

  • To use it again you will need to make it active (green toggle)

  • Select the Destination Budget version to merge to and click NEXT STEP

  • The Merge Scenario will confirm your selections of Scenario and Budget

  • It will also check for conflicts, if they exist details will show with additional options - see conflict types below.

  • Click MERGE SCENARIO to proceed

TIP 💡The following rule applies to FORMULAS on merge

  • If the Data Source of the formula is the same Scenario as the one being merged, then the data source will be updated to the target Budget

  • Otherwise, it will keep the same data source when merged to the budget

Conflict Types

Formulas on scenario and budget

This is detected when there are formulas on the same cells in both the scenario and the budget. You will be given the following options to apply on the conflicting cells:

  • Keep budget formulas
    This will keep the budget formulas and return the value of that calculation after merge
    ​

  • Replace budget formulas
    This will copy the scenario formulas into the budget and return the value of that calculation after merge
    ​

  • Delete budget formulas
    The budget formulas will be deleted and replaced with values that equal the sum of the budget and scenario
    ​

TIP 💡 Changes are NOT made to the Scenario, all Formulas and values will be retained, allowing the Scenario to be merged with or used in a report using other Budget versions if required.

Formulas on scenario with values on budget

This is detected when there are cells with formulas in the scenario and values in the same cells in the budget. You will be given the following options to apply on the conflicting cells:

  • Merge values only
    This will update to the values to equal the sum of the budget and scenario
    ​

  • Replace budget values with formulas
    This will copy the scenario formulas into the budget and return the value of that calculation after merge
    ​

Values on scenario with formulas on budget

This is detected when there are cells with values in the scenario and formulas in the same cells in the budget. You will be given the following options to apply on the conflicting cells:

  • Keep budget formulas
    This will keep the budget formulas and return the value of that calculation after merge
    ​

  • Delete budget formulas
    The budget formulas will be deleted and replaced with values that equal the sum of the budget and scenario

Formulas on scenario referencing a merged value

This is detected when there are cells with formulas in the scenario that reference cells with values in the scenario and budget. You will be given the following options to apply on the conflicting cells:

  • Merge values only
    This will update to the values to equal the sum of the budget and scenario
    ​

  • Replace budget values with Formulas
    This will copy the scenario formulas into the budget and return the value of that calculation after merge

Formulas on budget referencing a merged value

This is detected when there are cells with formulas in the budget that reference cells with values in the scenario and budget. You will be given the following options to apply on the conflicting cells:

  • Keep budget formulas
    This will keep the budget formulas and return the value of that calculation after merge
    ​

  • Delete budget formulas
    The budget formulas will be deleted and replaced with values that equal the sum of the budget and scenario

Formulas on scenario will cause a circular reference

This is detected when there are cells with formulas in the scenario, that when copied to the budget will cause a circular reference.

  • This will update to the values to equal the sum of the budget and scenario
    ​
