Calxa and Sage Intacct

Best practices and things to note for a smooth integration with Sage Intacct

Calxa can be used with a number of different accounting packages and integrates with these packages in different ways. Aside from your initial company setup and subsequent syncs, Calxa behaves in much the same way regardless of the chosen accounting package. There are, however, some important differences to be aware of.

This help note will outline the things you should know about using Calxa with Sage Intacct and discuss best practices for a smooth integration.


Calxa Subscription

A Calxa Enterprise subscription is required to connect to Sage Intacct. See Calxa Pricing for more details.

Integration (connection) to Sage Intacct

Calxa connects to Sage Intacct using a combination of the modern REST API and the XML API for functionality not yet available in REST. Configuration for this integration must be performed in both Sage Intacct and Calxa. Once configured, the integration does not require ongoing user interaction for Calxa to sync data from Sage Intacct. Authentication is managed through API credentials established in Sage Intacct, which can be updated or revoked at any time within the integration configuration. User Access Rights Required

A Sage Intacct administrator is required to configure the integration. As part of this process, a dedicated Web Services user is created in Sage Intacct to establish the connection with Calxa. This Web Services user is assigned a custom role with read‑only permissions to the following objects, ensuring secure access while limiting privileges strictly to what is necessary for the integration:

  • Company

  • General Ledger

  • Projects

  • Order Entry

  • Purchasing

  • Taxes

Entities

Each entity from your Sage Intacct company will be imported to Calxa as a separate Organisation. Within Calxa, you can configure Organisation Groups and Business Unit Trees to mirror the multi‑entity structure in Sage Intacct.

Chart of Accounts

Calxa imports the chart of accounts from Sage Intacct’s general ledger using a unique key for each account, rather than relying on the account number or name. This ensures that if you renumber or rename accounts in Sage Intacct, Calxa will still correctly identify and match them.

When accounts are marked as Inactive in Sage Intacct, Calxa will also mark them as inactive. These accounts can be filtered out in many Calxa views, but all historical data continues to be imported and synced. As a result, inactive accounts will still appear in reports whenever they contain relevant data.

Tax Codes

Calxa imports the complete list of Tax Codes and their associated rates from the Sage Intacct Tax Solution, along with related Tax Details. Each account is assigned a default tax code, and the corresponding rate is applied to forecast GST/VAT on projected values.

Business Units

In Calxa, Business Units are the overarching concept used to segment data in various ways. In Sage Intacct, these are referred to as Dimensions. Calxa supports the following Sage Intacct dimensions:

  • Location

  • Department

  • Class

  • Project

Business Unit names can be customised through the Business Unit Configuration menu.

Note: 💬 Sage Intacct allows you to record transactions directly against a header/parent business unit. To support this case Calxa creates an additional child business unit with the format [Business unit header name] · Other.

Financial Periods

Calxa is a monthly reporting and budgeting tool, so all reporting data is structured around calendar month periods.

Actuals

Journal Transactions are summarised and stored in Calxa as monthly amounts on each Organisation and Business Unit Category.

Transaction Detail

Transaction detail is not saved to Calxa and therefore some transaction-based reports such as the Account Transaction and Aged Receivables/Payables reports are not supported for Sage Intacct organisations at this stage.

Budgets

Budgets can be added against all Business Units Categories, however Calxa does not sync these from Sage Intacct. See Import Budgets for details on importing your Sage Intacct budgets from a spreadsheet.
