Edit Workflow Actions and Schedules

Workflows allow you to save time by automating tasks such as syncing the organisation data from your accounting system and generating and delivering report bundles. In this article we cover how to edit the actions and properties in an existing workflow.

Navigate to Workflows Menu

  1. Navigate to Settings -> Workflows then select the workflow you wish to edit

Edit Actions

Add Action

You can add more than one action to a workflow. For example, you can send different report bundles to different audiences all from the same workflow.

  1. Click ADD ACTION

  2. Select an action from the dropdown and configure its properties.

    1. Generate & Send report bundle

      1. Choose the Report Bundle you would like to send.

      2. Choose Last Month or This Month to determine what report period will be used in your bundle.

      3. Choose PDF or Excel as the format the report will be attached in.

      4. Enter Send to email addresses

      5. Click SAVE ACTION

    2. Sync Data with Accounting System

      ⚠️ An automated sync already runs daily, so this would force an additional sync and may not be required.

      1. Choose an Organisation to sync

      2. Click SAVE ACTION

Reorder Actions

When workflows are triggered, the actions will be performed in the order displayed on the screen. Click on the up-down arrows symbol, then drag and drop to reorder the actions.

Edit, Copy or Delete an Action

To edit copy or delete an action in a workflow click the ellipsis menu and choose the required menu item.

  • Edit action opens the edit dialog where you can edit the properties

  • Copy action creates a copy of the action and adds it to the list

  • Delete action removes the action from the list​

Edit Schedules

Add Schedule

You can add more than one schedule to a workflow. For example, you might want to send the same bundle on multiple schedules.

  1. Click ADD SCHEDULE

  2. Configure the Monthly or Weekly schedule

  3. Click SAVE SCHEDULE

Edit Schedule

To edit a schedule, click the settings cog to the right of the schedule you want to edit and update the properties as per the add schedule step. Please note this is also where you can delete a schedule.
