How to Print your Budget

To print your Profit & Loss budget by month in Calxa, you will go to the Reports -> Builder screen and run the P&L with Projected Total (12 Months) report.

  1. Begin to type P&L with Projected Total (12 Months) into the Search bar on the Builder screen, as shown in the image below.

    You will see the tile for this report in the in the search results. Click on the picture of the report to open it in the Builder.

  2. There are more period range options available for you via the drop-down menu to the right of the report name. These are shown below.

    Note: If you'd like to print a report that includes Next Year's Budget by month versus This Year's Actuals or Forecast, you can instead use the P&L vs Last Year Actual/Forecast (12 Months) report template. Click here for a few notes on how to set report criteria with this report.


  3. Set the Report month to a month within the year's budget you want to print.

    For example, to print a budget spanning from Jul 2019 - Jun 2020, set your report month to any month within this year, such as Jun 2020.


  4. Set the report criteria at left:

    1. First, select the organisation or group you want to report on from the drop-down.

    2. Next click on the cog to the right of the drop-down to select the budget version you'd like to report on.

      If you'd like to print business unit budgets you can select these here as well (i.e. jobs, tracking categories, classes, projects, departments, cost centres, etc). See the Business Units help note for detailed instructions.

      You can also select a custom account tree here if desired.

    3. For date selection, set the Period to FY Start 1. This will give you a report on the full financial year, relative to your report month.

      Ensure that the tickbox next to Using actuals up to is unticked. This will generate a report using budget data only.

    4. Set the rest of the report criteria as desired, then click the Refresh Report button overlaying the report preview, or click the Refresh button in the grey bar above the preview window.


    5. To export the budget report to PDF, Excel or another format, click on the Export button.

    6. To print the budget report, click on the Print button.
