Export your budgets and scenarios to work with your data in external platforms. Easily change your budgets in a spreadsheet and import back to Calxa.

How to Export your Budgets and Scenarios

Calxa allows you to export your Budgets & Actuals data to Excel or CSV files. You can use these as a template to import data back into Calxa or for use in other external systems.

TIP 💡For Business Unit Budgets, you will need to select the Business Unit Category and the individual Business Units in the Data Source Section


NOTE 💬 If you're exporting purely to keep a copy of your budget data, consider using a Snapshot instead. Snapshots capture both values and formulas, are retained for 1 year, and can be used to roll back changes.

  1. Navigate to Budgets & Cashflow -> Budgets & Actuals -> Budget Tools -> Export.

  2. Select your Organisation from the Selected Organisation dropdown.​

  3. Set your export options, the Data Source to export can be any one of:

    1. Actuals

    2. Budgets > click drop down to expand and choose the Budget version

    3. Scenarios > click the dropdown to expand and choose a Scenario version

    4. Complete the other settings and click EXPORT BUDGET.

NOTE 💬 If you have Formula's in your budget, the calculated value will be exported, the details of the Formula cannot be included in the export.

TIP 💡Reportable Budget Comments can be included in the Exported file, by choosing that option. This will result in an Excel Note being included in each applicable cell. Additionally, you can run a Budget Comments Report to show all comments that have been marked as Reportable.

Please note: Excel Notes cannot be imported to Calxa as comments.
