The Version Managers give an overview of your budgets and scenarios, providing options for creating, copying and grouping different versions.

Both the Budget Manager and Scenario Manager work in the same way:

  1. Navigate to Budgets & Cashflow -> Budget Tools ->

  2. Select Budget Manager or Scenario Manager as required​

  3. Select your organisation from the Selected Organisation dropdown.

Create a new Budget or Scenario Version

A single budget version can span multiple years and contains all your business units. You may wish to use a separate Budget version for reforecasting.

💡Tip: No need to create a new budget for next year. Simply add values to an existing budget to keep your bundles working smoothly, while also enabling reporting across multiple years.

With Scenarios, you can create multiple scenarios that overlay your base budget/s to project, for example, best case and worst case budgets.

  1. Click + CREATE BUDGET

  2. Give the Budget a Name and Choose a Budget Group

  3. + ADD NEW BUDGET

  4. The new budget version will appear at the bottom of the list of the chosen group.

  5. To rename a budget version, click into the name section. Type in the new budget version name and then click SAVE CHANGES.


Set Main Budget Version

The main budget version will be used as the default budget when running reports or as an alternate source in the Budget Factory for periods that do not yet have complete actuals.

  1. Click on the 3 dots menu to the right of the budget version you want to set as the main budget and select Set as main budget.

Group and Organise Budgets or Scenarios

The Main Budget will appear at the top of the lists, outside of a Group and is indicated with the Star symbol. This is the Budget that you will see when you open the Budget screen and is the default selection in the Report Builder settings.

Other Budgets or Scenarios can be organised into Groups to keep the selection tidy.

For example you may create an Draft Budget Group:

  1. To add a new group, Click CREATE GROUP, enter a name and choose the position within the Groups then + ADD GROUP

  2. Once you have multiple groups added you can, from the Group name Cog:

    1. Sort Alphabetically within a Group

    2. Rename the Group

    3. Reorder the Groups

  3. Individual Budgets can be moved between groups or re-ordered within a group by using the Up/Down arrows on the left of the Budget name, and dragging and dropping as preferred

Copy a Budget or Scenario

  1. Click on the 3 dots menu to the right of the budget version you want to copy and select Copy budget.

    This will make a full copy of the budget version, including all financial years' and all business units' data. Formulas and Metrics will also copy across to the new Budget version.


Lock Budget or Scenario Data

You can 'lock' your budget or scenario data to prevent it from being edited. It is a good idea to lock your budgets because they may be inadvertently edited or deleted.

  1. Click the padlock to toggle between locked states and SAVE CHANGES. ​

    💡 Tip: Locked Budget Years have a solid green padlock symbol

Delete a Budget Version

Warning: ⚠️ This action is permanent and deleted budgets are not recoverable.

  1. Click on the 3 dots menu to the right of the budget version you want to delete and select Delete budget

  2. On the confirmation dialog, type DELETE into the confirmation box, and then click REMOVE BUDGET.
