To print your Profit & Loss budget by month in Calxa, you will go to the Reports -> Builder screen and run the P&L with Projected Total (12 Months) report.


  1. Click on the Reports menu, then the Builder menu.

    Begin to type P&L with Projected Total (12 Months) into the Search bar on the Builder screen, as shown in the image below.

    You will see the tile for this report in the in the search results. Click on the picture of the report to open it in the Builder.



  2. There are more period range options available for you via the drop-down menu to the right of the report name. These are shown below.


    Note: If you'd like to print a report that includes Next Year's Budget by month versus This Year's Actuals or Forecast, you can instead use the P&L vs Last Year Actual/Forecast (12 Months) report template. Click here for a few notes on how to set report criteria with this report.


  3. Set the Report month to a month within the year's budget you want to print.

    For example, to print a budget spanning from Jul 2019 - Jun 2020, set your report month to any month within this year, such as Jun 2020.




  4. Now let's take a look at the report criteria at left. 
    1. First, select the organisation you want to report on from the drop-down.


      Note: This report can also be used with organisation groups for multi-org consolidations.


    2. Next click on the cog to the right of the drop-down to select the budget version you'd like to report on (see image above).

      If you'd like to print business unit budgets you can select these here as well (i.e. jobs, tracking categories, classes, projects, departments, cost centres, etc). See the Business Units help note for detailed instructions.

      You can also select a custom account tree here if desired.



    3. For date selection, set the Period to FY Start 1. This will give you a report on the full financial year, relative to your report month.

      Ensure that the tickbox next to Using actuals up to is unticked. This will generate a report using budget data only.



    4. Set the rest of the report criteria as desired, then click the Refresh Report button overlaying the report preview, or click the Refresh button in the grey bar above the preview window.



    5. To export the budget report to PDF, Excel or another format, click on the Export button.



    6. To print the budget report, click on the Print button.

Next Year's Budget vs This Year's Actuals/Forecast

If you'd like to print a report that includes Next Year's Budget by month versus This Year's Actuals or Forecast, you can instead use the P&L vs Last Year Actual/Forecast (12 Months) report template.

When you use this report, you should set your Report month to a month within the current financial year.

If you'd like to include YTD actuals in your report, set the report month to the last full month of actuals you have available.



In the Period selection, set the report to begin at FY Start 13. This will give you a 12-month budget report beginning from the start of the next financial year.

To include actuals YTD, put a tick in the Using actuals up to tickbox, then select to use actuals up to Relative 0. This will include actuals up to the report month you have set.

Note: The budget figures for both this year and next year need to be populated within the same budget version in order to use this report. Use the Budget Factory to copy a year from one budget version to another if needed.


If you'd prefer to instead compare against this year's budget, untick the Using actuals up to box.


Note: The column for last year is titled Last Year Forecast. If needed, you can customise the template to change this to Last Year Actual.

Balance Sheet

To print a Balance Sheet budget,  search for the Balance Sheet Forecast 1 Year, Monthly report template. Various other period range options are available, similar to the P&L report.
